Administrative Assistant

Saints James United Methodist Church is a radically welcoming United Methodist Church on the West End of Alexandria. We are hiring a part-time administrative and finance assistant to support our community as it grows to meet the needs of our neighbors on the West End of Alexandria.
Responsibilities

Church Administration
-Maintain well-organized hard-copy and virtual administration files.
-Maintain and track membership and donation records and create reports as needed
-Manage general info email account and respond to inquiries in a timely manner
-Manage church calendars
-Coordinate with contractors, vendors, and ministry partners.
-Conduct inventory of church consumables, place and receive orders, and manage storage of consumables
-Operate, clean regularly, schedule maintenance as needed, and/or recommend service for all church equipment including copiers, computers, printers, etc.
-Use cloud-based church database systems to maintain church statistics (attendance, giving, online viewing, etc).
-Coordinate and support meetings and events as needed
-Assist in preparation of materials for annual reports
-Liaise with food pantry partners to support West End Food Pantry efforts.
Financial Administration
-Maintain well-organized hard-copy and virtual financial files
-On a weekly basis, collect and deposit all monetary offerings, and record all funds received
-Using cloud-based system, upload copies of expenses and invoices paid using church systems
-Prepare checks for all funds and mailing/distribution of paid checks/invoices once signed
-Monitor and pay invoices online.
-Liaise with Bookkeeping company to provide information and support as needed
-Ensure vendors are compliant with church payment procedures
Position Requirements
-High School diploma required, associate’s or bachelor’s degree preferred.
-Previous administrative experience, ideally in a church or non-profit setting preferred.
-Independent worker, collaborative thinker.
-Excellent written and verbal skills
-Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment, Google Suite, cloud-based computing. Familiarity with Macs helpful.
-Ability to maintain confidentiality and handle sensitive information with discretion.
-Flexibility to manage the weekly demands of day-to-day life in a church with an active missional ministry and multiple ministry partners.
-Willingness and ability to develop new processes or learn new software to improve the efficiency and effectiveness of the church.
Helpful Proficiencies
-Spanish, Dari, or Pashto
-Realm/ACS Church Management Software
-Background in finance, accounting, or business
-Confidence editing and using ProPresenter
